Article I. NAME

 

Student Association (SA)

 

Article II. PURPOSE

 

The Student Association exists for the personal development ofeach student at Weimar Institute. SA will work to meet students’ physical, mental, andspiritual needs as well as improve campus life and foster unity within the student body. SA will also work to improve communication between staff and students.  To fulfill thispurpose, SA will utilize opportunities of personal interaction, campus events, surveys,and student representation at College Council meetings.

 

Article III. POSITIONS

 

The following sections list the position and responsibilities of each member of SA. The SA consists of the President, Vice President, Secretary, Treasurer, Event Coordinator, Media and Marketing Advisor, Two Women’s Spiritual Representatives, Two Men’s Spiritual Representatives, Women’s Village SpiritualRepresentative, and the Men’s VillageSpiritual Representative.

 

  • Section I. President

The President is to be unselfish, humble, optimistic, and decisive. He/she must be a spiritual leader. The President is to strive for unity in SA and the student body as a whole. The responsibilities of the President include ensuring the productivity of SA by writing meeting agendas, delegating tasks, and holding the members of SA accountable in fulfilling their assigned tasks. The President is also to attend College Council meetings and communicate relevant information from these meetings to the rest of SA. The President, working along with their Vice President, is to articulate the vision for the whole of SA and maintain accountability through the execution of plans.

 

  • Section II. Vice President

The Vice President is to assist the President and act in the case of the President’s absence. The Vice President is to be unselfish, humble, understanding, and optimistic. The responsibilities of the Vice President include supporting the President, re-enforcing delegated work, and providing accountability for the President as well as the rest of SA. The Vice President is invited—but not required—to sit in on the Academic Affairs Committee meetings. In the temporary absence of an ECOM member, the Vice President is to function as an interim until said member can resume their role. During this time, he is to be in communication with the absent member in how to best fulfill the absence of their role. Finally, the Vice President will assist the President by helping the Representatives fulfill their role of representing the Student Body.

 

  • Section III. Secretary

The Secretary is to be focused, punctual, organized, and an effective communicator. The responsibilities of the Secretary include assisting the President in preparing meeting agendas, recording attendance at all meetings, taking meeting notes, summarizing delegated roles at the end of each meeting, and checking the status of delegated roles at the beginning of each meeting. The Secretary is also responsible for the management and delegation of the SA blog.

 

  • Section IV. Treasurer

The Treasurer is to oversee the financial aspect of SA. The Treasurer is, to be honest, responsible, detail-oriented, and frugal. The responsibilities of the Treasurer include planning and organizing fundraising programs. The Treasurer is to keep a detailed record of all monetary expenditures of SA. He/she is to propose a budget for each endeavor planned by SA, work with the Business Office, and purchase any supplies needed by SA.

 

  • Section V. Event Coordinator

The Event Coordinator is to be organized, efficient, and productive. He/she is to provide wholesome, recreational, and educational activities for the student body to enjoy. The Event Coordinator must be able to delegate tasks. He/she should work towards having events on a frequent basis.

 

  • Section VI. Media and Marketing Advisor

The Media and Marketing Advisor is responsible for the college’s online presence, for marketing SA events, and promoting SA-related material. They ensure that social media content is both appropriate and appealing. Ideally, this will be someone who has creative ideas for selling and promoting merchandise and who is fluent in technology. One of the responsibilities of the Media and Marketing Advisor is to work in tandem with the Advancement Department as well as the Student Affairs Committee to approve apparel.

 

  • Section VII. Women’s Spiritual Representative

The Women’s Spiritual Representative is to be committed to improving the lives of the female dorm students by fostering and encouraging spiritual growth. The Women’s Spiritual Representative is to be friendly, understanding, discerning, optimistic, and a spiritual leader. She is to listen to any concerns, prayerfully work with other representatives, and present these concerns— when appropriate—to SA at large. The responsibilities of the Women’s Spiritual Representative also include helping to organize and conduct SA sponsored events.

 

  • Section VIII. Men’s Spiritual Representative

The Men’s Spiritual Representative is to be committed to improving the lives of the male dorm students by fostering and encouraging spiritual growth. The Men’s Spiritual Representative is to be friendly, understanding, discerning, optimistic, and a spiritual leader. He is to listen to any concerns, prayerfully work with other representatives, and present these concerns— when appropriate—to SA at large. The responsibilities of the Men’s Spiritual Representative also include helping to organize and conduct SA sponsored events.

 

  • Section IX. Women’s Village Spiritual Representative

The Women’s Village Spiritual Representative is to be committed to improving the lives of the female village students by fostering and encouraging spiritual growth. The Women’s Village Spiritual Representative is to be friendly, understanding, discerning, optimistic, and a spiritual leader. They are to listen to any concerns, prayerfully work with other representatives, and present these concerns—when appropriate—to SA at large. The responsibilities of the Village Women’s Spiritual Representative also include helping to organize and conduct SA sponsored events.

 

  • Section X. Men’s Village Spiritual Representative

The Men’s Village Spiritual Representative is to be committed to improving the lives of the male village students by fostering and encouraging spiritual growth. The Men’s Village Spiritual Representative is to be friendly, understanding, discerning, optimistic, and a spiritual leader. They are to listen to any concerns, prayerfully work with other representatives, and present these concerns—when appropriate—to SA at large. The responsibilities of the Village Men’s Spiritual Representative also include helping to organize and conduct SA sponsored events.

 

  • Section XI. Yearbook Editor

The yearbook editor is to be informed about upcoming events that would affect the yearbook, for the purpose of giving input. They may be invited to SA meetings by the President and Secretary.

 

Article IV. PARLIAMENTARY AUTHORITY

 

  • Section I.

Robert’s Rules of Order shall guide the proceedings of SA meetings.

 

Article V. EXECUTIVE COMMITTEE

 

The Executive Committee (ECOM) consists of the President, Vice President, Secretary, Treasurer, Event Coordinator, and the Media and Marketing Advisor. The purpose of the ECOM is to advise the President and to be mindful of the spiritual health of SA as a whole.

 

  • Section I. Meeting Time and Location

ECOM is expected to meet weekly as necessary.

 

  • Section II. Purpose of Meeting

This meeting exists to ascertain and assess the spiritual health of the SA team, in addition to the student body. This meeting ensures that ECOM is periodically updated to various meetings of the President, reviewing the progress and completion of various SA responsibilities, and evaluating the holistic wellness and discipleship on the campus at large. The President reserves the right to call meetings of the ECOM and the SA when he/she sees fit.

 

  • Section III. ECOM Voting

The ECOM may vote on actions as necessary, when SA is not in session, while remaining within the Bylaws. ECOM voting out of session must take place on ECOM Basecamp message boards, and all vote outcomes should be communicated by the Secretary to SA at large.

 

  • Section IV. Quorum

Four ECOM members constitute a quorum. Due to the non-voting status of the President, the quota may be fulfilled by 3 voting ECOM members and 1 non-voting member, namely the President.

 

Article VI. AMENDING THE BYLAWS

 

  • Section III. Amending the Bylaws

ECOM reserves the right to revise and take suggestions from SA when improving the bylaws. However, SA reserves the right to amend or accept the presented revisions to the bylaws by a two-step voting process, with all changes being confirmed by the Student Affairs Committee. The first reading of the edited bylaws must be voted on and passed by a simple majority of those present in the SA meeting. In the second reading (allowing time to consider the changes presented in the first reading) the edited bylaws must be passed by a two-thirds majority vote of those present in the SA meeting.

 

Article VII. SA MEETINGS

 

The entirety of SA will meet once a week.

 

  • Section I. Meeting Time and Location

SA will be meeting Sunday evenings from 6:00 pm – 7:00 pm.

 

  • Section II. Purpose of Meeting

The primary purpose of the meetings are: student spiritual health, advocacy and to encourage healthy relationships between staff and students. Meeting are for discussion, brainstorming, delegating responsibilities, and updating the team on the progress of responsibilities throughout the week. The meeting is also an opportunity to plan and debrief events.

 

  • Section III. Quorum

Two-thirds of the SA members constitutes a quorum.

 

Article VIII. COMMITTEES

 

  • Section I.

              The purpose of committees is to prayerfully research and make recommendations                              to the SA body on the topic given.

 

  • Section II.

The President may chair any committee or defer his/her chair to the Vice

President. In the absence of the Vice President, the President may defer his/her chair to whomever he chooses.

 

  • Section II

The President may sit on any committee because he/she is an ex officio                                                  member.

 

  • Section I

The President may appoint special committees as necessary unless suspended by a majority vote.

 

Article IX. SA POLICY

 

SA policy is a course or principle of action adopted to expediate the vision and efficiency of SA.

 

  • Section I.

To adopt a policy there must be a two-thirds majority vote.

 

  • Section II.

To make a change in SA policy there must be a two-thirds majority vote.

 

Article X. DISCIPLINE

 

ECOM reserves the right to ask any member of SA to step down if the member is not being productive, exhibiting a careless attitude, or having a degrading influence on the corporate agenda of SA or other members of SA.

 

Article XI. ELECTIONS

      

All members of SA are to be elected into position through a majority of votes.

 

  • Section I. Election of ECOM

Toward the end of spring semester, SA will nominate approximately three individuals for each position on ECOM – President, Vice President, Secretary, Treasurer, Event Coordinator, and Media and Marketing Advisor. These individuals will be voted into position by the student body. The individuals nominated for President must have previously served one term on SA. In the event that only one person runs for a position they still must be voted in by a majority vote of the student body.

 

  • Section II. Nominees

All nominations by SA must be submitted to SAC for approval before the students are notified of their nomination.

 

  • Section III. Bylaws

Members are bound by the bylaws they are voted in under.

 

  • Section IV. Election of Remaining SA Positions

The remaining SA positions will be voted in by the student body within the first few weeks of the fall semester.

 

  • Section V. Position Vacancy

If for any reason a position on SA becomes vacant, an election will be held to vote an individual into that position. In the case that the position of President becomes vacant, the Vice President will become the new President. Should the Vice President’s position become vacant (Do to the President leaving or the Vice President leaving) then the decision will go to an ECOM vote at the President’s nomination. ECOM would be responsible for this nomination instead of a general election due to three reasons 1) The VP was selected by the president to compliment his leadership and offer counsel-not elected separately 2) this is fundamentally an addition to the ECOM team so ECOM should have a say 3) should the vacancy occur during the summer ECOM is the only body in session.

 

 

Article XII. TERMS

 

  • Section I. Definition of Term

A term is two semesters in length. In the case that an individual is only physically present for the one half of the term, he/she will be considered to have served one term.

 

  • Section II. Length of SA Service

An individual can only serve two terms (two years) in any position on SA. Afterwards, he/she is no longer eligible for any position on SA.

 

Article XIII. SA & ECOM Budgets

 

  • Section I. SA Budget

SA budget will be used only for SA events/projects. The Treasurer will periodically prepare and give a financial report to SA, the staff, and during student town hall.

 

  • Section II. Representatives Campus Improvement Budget

The Campus Improvement budget will be used for the purpose of improving    student life, better representation, and vision preservation. The budget will not be used for any other SA projects/events. Representatives will meet with their constituents and work together to propose a bill that will go to the house of representatives (representatives in meeting). The bill will be voted on and must then receive approval from the President upon which the bill can be acted upon.

 

 

Article XIV. MEMBER EXPECTATIONS

 

Each member of SA is expected to attend and actively participate in SA meetings by voicing opinions and voting on action items. In addition, if a member of SA is not able to attend the weekly meeting, they should let the President or Secretary know. Each member of SA should also assist with and attend all major events.
